Sourcing Quote Administrator

PURPOSE:

Perform sourcing administration and drawing document review as required to support request for quoting (RFQ) activities, some of which are confidential in nature and may contain technical language for the Director of Strategic Sourcing and Commodity Managers. This position also provides support in a program management role for Strategic Sourcing and Product Development programs and activities.  

 

MAJOR RESPONSABILITIES:

  • Analyze and process a high volume of Engineering Change Requests and Change Orders using IFS and NX Team center systems
  • Under the guidance/direction of Commodity Manager; initiate, distribute, track and follow-up all request for quotes with suppliers.
  • Process Purchase Requests and Purchase Orders
  • Provide sourcing administration in support of the Commodity Managers and Engineering Services
  • Review detail, ensure complete information, including codes, descriptions, dispositions
  • Collaborate with strategic sourcing team to ensure accurate, timely processing
  • Expedite responses, corrections/solutions where applicable with sourcing team and other cross functional departments where applicable.
  • Maintain individual workflow to ensure ease of obtaining current CR/CO status and prioritize individual work
  • Assist other cross-functional departments in clarifying CR/CO status
  • Facilitate weekly CR Board Meetings (Group determines and confirms feasibility, accuracy of new Change Requests, reviews outstanding order status)
  • Manage reporting and maintenance of project hour data for the strategic sourcing department using Excel and NX Team center
  • Compose, design, maintain word documents, spread sheets, org charts, Power Point presentations as required for Director of Strategic Sourcing and Commodity Managers
  • Communicate with all departments in the company relating to a variety of status items, meeting facilities, employee locations, and supplier information.
  • Special projects as assigned

 

SPECIFIC REQUIREMENTS:

Education/Work experience

  • High school diploma and/or Associate degree in administration, business, training or similar subject.
  • Should be familiar with sourcing, supply chain, and program management activities.
  • Must be proficient in Microsoft Word, Excel, PowerPoint, Microsoft Schedule, Access, and Outlook and be able to do online research.
  • Good organizational skills.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills (ability to work effectively with multiple departments, as well as, suppliers)
  • Must have the ability to prioritize work from multiple sources
  • Must be able to work in a fast paced environment.
  • Maintain a high degree of trust with confidential matters.
